Monthly Expense Tracker Template in Naira (Copy and Use)
🧰 Tools & Templates · By Fincaly Team · · 8 min read
A monthly expense tracker template lists every business cost by date, category and amount, then totals each category so you can see where your money goes. Copy the layout below into a notebook or spreadsheet and fill it in as you spend. The figures are an example only.
Tracking expenses is the fastest way to find money you did not know you were losing. Most owners are surprised by what small, frequent costs add up to over a month. This template keeps it simple.
Part 1: the daily log
| Date | Item | Category | Amount (₦) | Paid by |
|---|---|---|---|---|
| 02 | Fabric from supplier | Stock | 85,000 | Transfer |
| 03 | Delivery to customer | Transport | 3,500 | Cash |
| 05 | Data subscription | Data and power | 12,000 | Card |
| 09 | Instagram ads | Marketing | 15,000 | Card |
| 12 | Shop rent | Rent | 120,000 | Transfer |
Add a row each time the business spends money. Keep the receipt or a photo of it. The "Paid by" column helps you match your log with bank statements.
Part 2: the monthly summary
| Category | Planned (₦) | Actual (₦) | Difference (₦) |
|---|---|---|---|
| Stock | 200,000 | 215,000 | +15,000 |
| Rent | 120,000 | 120,000 | 0 |
| Transport | 25,000 | 31,500 | +6,500 |
| Data and power | 40,000 | 38,000 | -2,000 |
| Marketing | 30,000 | 35,000 | +5,000 |
| Total | 415,000 | 439,500 | +24,500 |
A positive difference means you spent more than planned. At a glance you can see which categories went over.
Suggested categories
Keep the list short so entry is fast:
- Stock and materials
- Rent
- Salaries and wages
- Transport and delivery
- Data and power
- Marketing and advertising
- Bank and POS charges
- Repairs and maintenance
- Subscriptions and software
- Owner withdrawals (record separately, not as an expense)
- Other
Use the same categories each month so comparisons are fair. If one category is regularly large, split it into two.
How to fill in the monthly expense tracker template
- At the start of the month, write your planned amount for each category. Use last month's actuals as a guide.
- Every day or every few days, add new costs to the daily log.
- At the end of the week, total each category and compare with the plan.
- At month end, complete the summary and write one sentence on the biggest difference.
How to review it
- Find the categories that went over plan. Start with the biggest naira difference.
- Ask what changed. Was it a price rise, more volume or a one-off cost?
- Decide one action for next month. For example, ask for a better price, buy less, or delay a purchase.
- Compare with last month. See month vs month comparisons.
- Compare with income. Costs only matter against what you earn. See the profit and loss template.
Build it in a spreadsheet
Use one tab for the daily log and one for the summary. In the summary, use a sum formula for each category that adds the amounts in the log where the category matches. Add a total row, then a difference column that subtracts planned from actual. Colour any positive difference red. Save a copy for each month, or add a month column, so you can compare quickly.
Tips for accurate tracking
- Record costs on the day they happen
- Include small cash costs such as transport and airtime
- Record the full cost, including delivery and charges
- Keep personal spending out of the log
- Back up your sheet or notebook photo each week
Reading the sample month
Look again at the summary above. Total spending was ₦439,500 against a plan of ₦415,000, so the business overspent by ₦24,500, about 6%. The biggest single increase was stock, up ₦15,000. Transport was 26% over plan, which is the largest percentage jump, and probably points to higher fuel or more deliveries.
Data and power came in under plan, which is a small win. Marketing was ₦5,000 over, so you would ask whether the extra ad spend brought extra sales.
That short review took two minutes and gave you three questions to act on. This is the real value of the template.
Tips for cash, card and transfer entries
- Mark how you paid, so you can match your bank statement
- Enter transfers on the day you send them, not when you remember
- Record card and POS charges as separate lines
- Enter cash spending from receipts at the end of each day
- Keep a running balance of your cash float
Warning signs to look for
Read signs your business expenses are out of control if the total keeps growing faster than sales. Also watch for:
- A category that rises every month with no clear reason
- Many small cash payments with no receipts
- Subscriptions you no longer use
- Rising bank charges from many small transfers
Make it a budget
Once you have three months of actuals, use them to set a budget for each category. Our guide to building a business budget you will stick to shows how.
Let the app do the adding up
Fincaly totals your categories automatically and shows profit and loss. See features or the guide to choosing an expense tracker.

Frequently asked questions
How many expense categories should I use?
Eight to twelve is enough for most small businesses. Too many categories make recording slower and reviews harder.
Should I record small cash expenses?
Yes. Small expenses such as transport and data add up over a month.
Are the numbers in the template real?
No. They are an example. Replace them with your own figures.
